1. Agreement

These Terms and Conditions apply to all sponsors, exhibitors, advertisers, vendors, and promotional participants of the 2027 Iridology & Integrative Health Conference.

By completing registration, submitting payment, or selecting the acknowledgment checkbox during the registration process, the sponsor or exhibitor agrees to be bound by these Terms and Conditions.

2. Event Details

The 2027 Iridology & Integrative Health Conference will be held February 19–21, 2027, at:

Embassy Suites by Hilton Las Vegas
4315 University Center Drive
Las Vegas, NV 89119

The International Iridology Practitioners Association reserves the right to modify conference schedules, speakers, programming, room assignments, exhibition layouts, and event logistics as necessary.

3. Sponsorship and Vendor Opportunities

Sponsors and exhibitors shall receive the benefits associated with the sponsorship level, exhibitor package, or promotional opportunity selected during registration.

Benefits may include, but are not limited to:

  • Recognition on the conference website

  • Recognition in conference publications and materials

  • Exhibition booth space

  • Advertising opportunities

  • Social media promotion

  • Inclusion in attendee materials

  • On-site signage

  • Complimentary registrations

  • Networking opportunities

  • Verbal acknowledgment during conference activities

Benefits are limited to those specifically associated with the selected sponsorship or exhibitor level.

The Organizer reserves the right to determine the placement, size, format, timing, and presentation of all sponsor recognition materials.

4. Use of Logos and Marketing Materials

Sponsors and exhibitors grant the International Iridology Practitioners Association a non-exclusive right to use submitted company names, logos, trademarks, advertising materials, and approved marketing content for conference-related promotional purposes.

Sponsors and exhibitors represent and warrant that they own or have permission to use all submitted materials and that such materials do not infringe upon the rights of any third party.

5. Promotional Activities

Sponsors and exhibitors may promote their products, services, educational programs, and business activities within the scope of their selected sponsorship benefits and designated exhibit space.

Permitted activities may include:

  • Product displays

  • Educational materials

  • Demonstrations

  • Promotional giveaways

  • Lead generation activities

  • Business networking

All promotional activities must comply with conference policies, venue requirements, and applicable laws and regulations.

6. Exhibitor Responsibilities

Sponsors and exhibitors agree to:

  • Maintain professional and ethical conduct at all times.

  • Staff exhibit booths during designated exhibit hours.

  • Ensure displays are safe, secure, and professionally maintained.

  • Comply with all venue requirements and regulations.

  • Comply with all applicable federal, state, and local laws.

  • Obtain any licenses, permits, or insurance required for their participation.

  • Avoid activities that interfere with neighboring exhibitors or conference operations.

7. Booth Guidelines

Sponsors and exhibitors shall:

  • Remain within assigned exhibit boundaries.

  • Maintain a clean and professional appearance.

  • Display materials relevant to their business or organization.

  • Avoid excessive noise or disruptive activities.

  • Complete setup and dismantling during designated time periods.

The Organizer reserves the right to require modification or removal of any display, activity, material, or exhibit deemed unsafe, misleading, offensive, inappropriate, disruptive, or inconsistent with the mission and professional standards of the conference.

8. Right to Refuse or Remove Participation

The International Iridology Practitioners Association reserves the right to refuse, restrict, or remove sponsorships, exhibits, promotional materials, presentations, or participants whose products, services, conduct, messaging, or business practices are determined to be inconsistent with the mission, values, educational objectives, or professional standards of the conference.

Such decisions shall be made at the sole discretion of the Organizer.

9. Submission Deadlines

Sponsors and exhibitors are responsible for submitting logos, advertisements, promotional materials, attendee information, bag insert materials, and any other requested content by published deadlines.

The Organizer is not responsible for benefits that cannot be fulfilled due to late submissions, incomplete materials, or failure to meet established deadlines.

10. Payment Terms

Full payment is required according to the selected sponsorship or exhibitor package.

Sponsorship benefits and exhibitor privileges are not guaranteed until payment has been received in full unless otherwise approved by the Organizer.

Failure to submit payment may result in cancellation of sponsorship or exhibitor participation.

11. Cancellation and Refund Policy

Sponsorship and exhibitor payments are generally non-refundable and non-transferable.

No refunds will be issued for:

  • Sponsor cancellation

  • Exhibitor withdrawal

  • Failure to attend

  • Travel restrictions

  • Visa issues

  • Business circumstances

  • Changes in marketing strategy

Any exception to this policy shall be at the sole discretion of the Organizer.

12. Event Modifications

The Organizer reserves the right to:

  • Modify the conference program

  • Change speakers or presenters

  • Adjust schedules

  • Reconfigure exhibit layouts

  • Modify conference operations as reasonably necessary

Such modifications shall not constitute grounds for cancellation or refund.

13. Media and Photography

Sponsors and exhibitors acknowledge that photographs, video recordings, livestreams, interviews, and other media may be captured during the conference.

The International Iridology Practitioners Association may use such media for promotional, educational, archival, and marketing purposes without compensation to sponsors or exhibitors.

14. Limitation of Liability

The Organizer shall not be liable for:

  • Loss of profits

  • Business interruption

  • Damage to exhibits or displays

  • Theft or loss of property

  • Indirect, incidental, or consequential damages

Sponsors and exhibitors are responsible for obtaining any desired insurance coverage for their participation.

15. Indemnification

Sponsors and exhibitors agree to indemnify, defend, and hold harmless the International Iridology Practitioners Association, its officers, directors, employees, volunteers, contractors, and representatives from any claims, damages, liabilities, losses, or expenses arising from:

  • Sponsor or exhibitor activities

  • Product demonstrations

  • Promotional materials

  • Violations of law

  • Negligence

  • Misconduct

16. Force Majeure

The Organizer shall not be liable for delays, modifications, postponements, interruptions, or cancellation resulting from circumstances beyond reasonable control, including:

  • Natural disasters

  • Severe weather

  • Government restrictions

  • Public health emergencies

  • Labor disputes

  • Venue closures

  • Acts of terrorism

  • Civil unrest

  • Other unforeseen events

The Organizer reserves the right to reschedule, postpone, convert to a virtual or hybrid format, or otherwise modify the event as circumstances require.

Sponsorship benefits may be adjusted accordingly.

17. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the State of Alabama, USA.

Any legal action arising from participation in the conference shall be brought exclusively in the state or federal courts located in Alabama.

18. Entire Agreement

These Terms and Conditions constitute the entire agreement between the Organizer and the sponsor or exhibitor regarding conference participation and supersede all prior discussions, communications, representations, and understandings relating to sponsorship or exhibitor participation.
